Demo Coordinator
Role Overview
The Demo Coordinator is responsible for leading the demo team, organizing and maintaining all demo equipment, coordinating planning and reporting activities, and ensuring an excellent experience for Agfa customers, prospects, partners, and internal stakeholders.
A central part of the role is to create an outstanding customer journey, ensuring every demo interaction reinforces Agfa’s value proposition, professionalism, and brand experience.
This role requires strong leadership, organizational excellence, technical affinity, and the ability to manage both operational and administrative workflows.
The Demo Coordinator collaborates closely with Service, Sales, Marketing, Logistics, and HQ Support teams to operate a best‑in‑class demo center that drives commercial impact and supports strategic business goals.
Key Responsibilities
1. Demo Team Leadership & Operations
- Lead, mentor, and represent the demo team to ensure a highly engaged and high‑performing group.
- Coordinate and oversee all demo team activities, including customer demonstrations, sample kit creation and mail orders, internal training sessions, and tradeshow/event support.
- Provide regular coaching, feedback, and development opportunities to team members.
- Ensure that every customer-facing interaction delivers an exceptional, professional, and memorable experience.
- Uphold brand guidelines, messaging, and visual standards in the demo center and at events.
- Align demo center activities with broader business goals across Service, Marketing, and Sales.
2. Demo Equipment Management
- Oversee maintenance, inventory, and logistics of all demo equipment.
- Ensure systems are consistently in optimal condition to support high-quality demos, customer tests, and internal use.
- Act as first escalation point for technical issues, liaising with HQ Support, Service and R&D teams when needed.
- Maintain accurate in/out booking and inventory control of demo systems.
3. Planning, Coordination & Administration
- Manage the complete planning and scheduling of demos, customer visits, and sales kit preparation.
- Handle inbox management and communication for demo center requests.
- Process and follow up on all demo-related requests and maintain master data in the booking system (MS‑Dynamics).
- Execute visitor reception tasks such as bookings, registrations, hospitality arrangements, lunches, and transport coordination.
- Develop and maintain dynamic dashboards that visualize demo activity, performance trends, and operational KPIs.
- Log daily demo center activities and prepare monthly reporting.
- Maintain deadlines and prioritize effectively, even in dynamic or unexpected situations.
4. Logistics & Procurement Support
- Coordinate deliveries, shipments (e.g., FedEx, DHL), and ensure compliance of all related documentation.
- Support internal transport coordination and management of stock locations.
- Oversee ink and media inventory within the demo center.
5. Occasional Travel
- Provide on‑site support for European tradeshows or HQ Service activities when required.
Profile
Education & Experience
- Bachelor’s degree or relevant diploma in Business Administration, Management, Electronics, Electrical/Mechanical Engineering, or equivalent experience.
- Minimum 3 years of experience in equipment management, field service, logistics, or a related technical or operational role.
- Demonstrated experience in leading teams.
- Experience with MS‑Dynamics is a strong advantage.
